Importing Student Schedules
Learn how to correctly format and import student schedules using `.ics` files.
Why Official University `.ics` Files Are Required
To ensure the accuracy and integrity of the scheduling process, Caldemic requires that **class schedules** be imported using `.ics` calendar files downloaded directly from official university student portals.
This policy helps:
- Ensure Data Accuracy: Official files contain precise course codes, times, and recurrence rules, which are critical for the AI optimization engine.
- Maintain Academic Integrity: It prevents the submission of manually created or altered class schedules, ensuring fairness for all students.
- Streamline the Process: Standardized formats from university systems reduce parsing errors and ensure all commitments are captured correctly.
How Students Can Download Their Schedule
Please share these instructions with your students. They will need to log into their student portal and export their schedule.
For Texas A&M University Students:
- Log in to the Howdy Portal.
- Navigate to the Home Tab.
- Under the "Featured" section, click on "Student Schedule".
- On your schedule page, click the download icon in the top right corner
For University of Texas at Austin Students:
The UT registration portal does not have a built-in export feature. The recommended method is to use the free and open-source UT Registration Plus extension for Google Chrome.
- Using Google Chrome, install the UT Registration Plus Extension from the Chrome Web Store.
- Once installed, go to your class schedule page on the UT Austin portal.
- The extension will add an "Export Schedule" button to the page. Click it to download your schedule as a compatible `.ics` file.
Uploading Work Schedules
The strict source requirement **does not apply** to work schedules. Students can and should upload a separate `.ics` file for their work commitments to ensure the optimizer has a complete picture of their availability.
Any standard `.ics` file is acceptable for work schedules, including exports from:
- Google Calendar
- Apple Calendar
- Microsoft Outlook
- Or any other calendar application that supports `.ics` export.
